    We are looking for a responsible Administrative Support Analyst to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to management and employees, assisting in daily office needs and managing our company’s general administrative activities.  Ultimately, a successful Admin Support Analyst should ensure the efficient and smooth day-to-day operation of our office.

     

    The ideal candidate should be professional, an independent thinker, have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Experience and ability to work with MS Office, especially Excel, PowerPoint, and Word are a must. The Admin must be able to develop rapport with others to effectively conduct corporate support tasks within a business environment.  If you also have previous administrative experience or familiarity within our industry, we’d like to meet you.

     

    Responsibilities

    • Provide general support to visitors and guests and employees
    • Plan meetings and take detailed minutes
    • Write and distribute professional email, correspondence memos, letters, faxes and forms
    • Assist in the preparation of regularly scheduled reports in Excel
    • Develop and maintain a filing system
    • Update and maintain office policies and procedures
    • Order office supplies and research new deals and suppliers
    • Maintain contact lists or other similar tasks
    • Submit and reconcile expense reports
    • Act as the point of contact for internal and external clients
    • Liaise with Management, Human Resources, Talent Acquisition, Facilities, and Finance  to handle requests and queries

     

    Requirements

    • Minimum 2 years proven experience as an administrative assistant or office manager
    • Knowledge of office management systems and procedures
    • Working knowledge of office equipment, like printers and fax machines
    • Proficiency in MS Office (MS Excel, MS Word,MS PowerPoint, in particular)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and problem solving skills
    • Excellent written and verbal communication skills
    • Strong organizational skills with the ability to multi-task
    • High School degree required

    Profile

    Normally receives no instruction on routine work, general instructions on new assignments. Works on assignments that are complex in nature where considerable judgement and initiative are required in resolving problems and making recommendations. May determine methods and procedures on new assignments and may provide guidance to other non-exempt personnel. May be responsible for confidential and time sensitive material. Requires advanced organizational experience, typing, reading, writing and intermediate arithmetic skills, and the ability to use specialized equipment, read difficult instructions, and maintain written records.

They also act as executive admin, providing support to the entire Management Team for:

    • calendar and travel
    • provide professional level communications
    • correspondence and presentations
    • assist in planning and coordinating special events and meetings in the area
    • arrange accommodations and entertainment for visitors
    • compile and proof data for PowerPoint presentations

     

    The Office Manager will also coordinate messages, appointments, employee monthly functions/events, building badge access, file maintenance, office supplies, mail, and more. The ability to work with reports and spreadsheets in Excel, PowerPoint presentations, and above average general Microsoft Office skills is expected.

     

    Qualifications:

    • Degree in Business or a related discipline highly desirable but not required. Proven experience will be considered in lieu of degree
    • 2 years of experience in an administrative support or office management role in a corporate environment
    • Experience interfacing with senior level executives, customers, and vendors highly desirable
    • Proficient in Microsoft Office applications, Word, Excel, Outlook and PowerPoint.
    • Ability to multi-task, prioritize and coordinate in a fast paced environment
    • Experience with calendar management/travel coordination helpful
    • Excellent communication skills, verbal and written
    • Professional demeanor and sound judgment
    • Go-getter attitude
